Privacy Policy

This policy explains how IGS Intranet, operated by Ivy Global School, handles information.

Information from Google sign-in

When a staff member signs in with Google we receive their name, email address and profile picture (scopes openid, email, profile). We use them only to identify the user, apply their permissions and attribute the notes they write. We do not access Gmail, Drive, Calendar or any other Google data.

Student information

The intranet stores student records supplied by the school's student information system and learning platforms: identity, enrolment, courses, grades, online activity, weekly attendance notes and guardian contacts. This information is used solely to support students' learning and is visible only to authorised school staff according to their role.

Security

• All traffic is encrypted with HTTPS.
• Learning-platform passwords are encrypted at rest and every viewing is logged.
• Every change to data is recorded in an audit log with the person who made it.

Sharing and retention

We do not sell or share personal information with third parties. Data is kept for as long as the student is enrolled and as required by school record-keeping rules. Generated report files are deleted after 30 days.
